Privacy Policy

Your family’s photos and memories are personal. This policy explains, in plain language, what information we collect, how we use it, who helps us handle it, and how long we keep it.

  • We use your photos and words only to create, show you and deliver your memorial video. They are never made public, sold, or used in advertising.
  • Unfinished tributes are deleted about 30 days after your last visit. A purchased tribute’s photos and finished video are kept for 12 months after payment, then deleted.
  • Payments are handled by Stripe — we never see or store your full card number.
  • We use one necessary cookie to recognise your tribute. No advertising or analytics cookies.
  • You can ask us to delete your tribute early at any time — contact us.

Who we are

Easy Memorial Videos (“we”, “us”) provides the website at easymemorialvideos.com, where families create memorial videos from their own photos. If you have any question about this policy or your information, contact us at contact@easymemorialvideos.com or through our contact form.

Information we collect

Your photos

When you add a photo, your browser makes a resized copy of it (and a small thumbnail) for your tribute. Making the copy removes information stored inside the photo file, such as the location where it was taken and camera details. We store these copies together with each photo’s original file name, size and the order you choose. Photos may show your loved one, your family and other people, including children.

Your tribute’s details

The details you type in: your loved one’s name, and — if you add them — their dates, a remembrance line and opening and closing messages, plus the music you choose.

Purchase information

When you buy a video, Stripe, our payment processor, collects your payment details and email address on its secure checkout page. We receive your email address, the package and amount, the payment date and Stripe’s reference numbers, and whether the payment was later refunded. We never receive or store your full card number. We also keep a record of exactly which version of your tribute was purchased, so that your video can be created from it.

Messages you send us

When you use our contact form we receive your name, email address, the topic, your message and — if you give it — your loved one’s name. If you write from the browser you used to create a tribute, we attach a reference to that tribute so we can find it. To prevent abuse, we also keep a coded fingerprint of your network (IP) address — not the address itself. If you email us directly, we receive your email and anything in it.

Technical information

Like most websites, our hosting and service providers automatically record technical information — such as IP addresses, browser type and the pages requested — in their logs, which are used for security and to fix problems. We don’t use analytics or advertising tools that track you.

How we use your information

  • To save your tribute as you work on it and show you a free preview.
  • To take payment, create your finished video from the version you purchased, and let you download it.
  • To answer your questions, help with problems, and handle refunds and requests about your information.
  • To keep the service secure and prevent fraud and abuse, and to meet our accounting and legal obligations.

Your photos and words are used only to create and deliver your memorial video. They are never made public, never sold, and never used in advertising or to promote our business. We look at a tribute only when needed — for example, to help with a support request or to fix a problem with a video. We don’t use your email address for marketing.

Who helps us handle your information

We don’t sell your information. We share it only with service providers that handle it on our behalf, to run this service:

  • Stripe — payment processing. Stripe handles your payment details under its own privacy policy, and may offer to save them for faster checkout (Stripe Link) if you choose.
  • Supabase — stores your tribute’s details, your photos, purchase records and contact messages.
  • Amazon Web Services (AWS) — creates your finished video and stores it for download.
  • Our website hosting provider — runs the website and receives the requests your browser sends to it.
  • Hostinger — provides our business email, which receives the emails you send us and our replies.
  • Resend — delivers the messages you send through our website’s contact form to our business email.

We may also disclose information if we are required to by law, or where necessary to protect the rights, safety or property of our customers, ourselves or others.

Cookies

We use one cookie, which is necessary for the service to work. It lets this website recognise your tribute when you return, without you needing an account. It lasts 90 days for an unfinished tribute and 400 days after purchase, and is renewed when you visit. It can’t be read by other websites, and it isn’t used for advertising or analytics. If you delete it — or use a private browsing window and then close it — this browser will no longer open your tribute, so please download your video and keep a copy. Stripe sets its own cookies on its checkout page.

How long we keep information

  • Unfinished tributes (never purchased): the photos and details are deleted about 30 days after your last visit.
  • Purchased tributes: the photos and finished video are kept for 12 months from the date of payment, so you can download your video again, and are then deleted.
  • Refunded purchases: the finished video is deleted as soon as the refund is made; the photos are deleted on the same schedule as other purchases.
  • Download recovery links we may send you work for up to 7 days, and we can cancel them at any time.
  • Contact messages are kept for 24 months.
  • Transaction records — such as the purchase date, package, amount, email address, payment references, refund status and the record of what was purchased (including the tribute’s written details) — may be kept longer where reasonably required for tax, accounting, fraud prevention, handling disputes, or other legal obligations. They don’t include your photos or video.
  • Deleted information may remain for a limited time in our service providers’ backups and logs before it is overwritten.

Deleting your tribute early and other requests

You can ask us at any time to delete your tribute’s photos, video and details before the end of these periods, or ask what information we hold about you or to correct it. Please contact us and choose “A privacy or data request”. To protect your tribute, we’ll need to confirm the request comes from the person who created or purchased it — for example, by writing from the email address used for the purchase, or sending the request from the browser that holds the tribute. Deleting a purchased tribute also ends access to its download, so please keep a copy of your video first. We may keep the transaction records described above where required.

California privacy

We don’t sell your personal information, and we don’t share it for cross-context behavioral advertising. We don’t disclose personal information to other companies for their own marketing purposes. Whether or not you live in California, you can ask us what personal information we hold about you, and ask us to correct or delete it, as described above; we won’t treat you differently for making a request.

Do Not Track: we don’t track you across other websites, so we don’t change how our website works in response to “Do Not Track” browser signals.

How we protect your information

Your photos and videos are kept in private storage that isn’t publicly accessible. They are shown only through links that expire after a short time, and access to our systems is limited. We take reasonable care to protect your information, but no website, storage or transmission over the internet is completely secure, so we can’t guarantee absolute security.

Children

Our service is intended for adults, and you must be at least 18 to make a purchase. We don’t knowingly collect personal information from children using our website. Tributes may include photos of children, provided by their family.

Where your information is stored

Our service is intended for customers in the United States, and your information is stored and processed in the United States by us and the service providers listed above.

Changes to this policy

If we change this policy, we’ll update it on this page and change the effective date above. If a change significantly affects how we use information we already hold, we’ll take reasonable steps to let affected customers know.
